  • Schedule planning and updating of the service calendar
  • Create service quotes
  • Advanced notification and planning of upcoming installs with customers
  • Assignment of Service Engineers to tasks
  • Monitor/Track Service Engineer reports and site visit expenses
  • Perform RMA tracking to Finesse SOP 
  • Track shipments to ensure Spare Parts are shipped to coincide with Service Engineer visits
  • Ensure Service Engineers have current training records, liaise with quality dept
  • Assist with Visa applications and requirements
  • Travel and Hotel booking assistance
  • Document creation and approval routing for service knowledge base
  • Warranty tracking
  • Service timesheet tracking and enforcement
  • Service metrics collation and presentation into MS Excel and/or PowerPoint
  • Customer follow up and satisfaction surveys
  • Ensure that system backups are taken and stored. Maintain competent understanding of company?s products, their functions and alternatives
  • Contact customers regarding contract cancellations to determine cause and possible corrective measures
  • Develop knowledge about each customer?s business model and requirements
  • Coordinate, analyze and improve customer service functions to meet company goals
  • Maintain database of customer service/sales order and invoicing records
  • Handle incoming phone calls related to return material requests
  • Alert customers on shipping and flow issues in advance
  • Provide price and cost proposals in response to customer?s requests
  • Maintain a high level of integrity with existing and potential client base
  • Communicate effectively at all levels of the organization
  • Communicate task updates and progress on a regular basis to Service Manager
  • Resolve customer level issues or supply chain inefficiencies (coordination of shipping materials on-site with service work)
  • Respond to and mitigate customer complaints, concerns and comments in a cordial and respectful way, escalating to Service Manager when necessary
  • Assist in service purchasing and order fulfillment activities such as taking orders, giving pricing information, determining appropriate travel routes and rates, etc.
  • Attend Master Schedule meeting and ensure actions required are reflected in the service calendar


  • Bachelor?s Degree in Operations preferred or equivalent experience 
  • Excellent verbal and written communication skills
  • Exceptional organizational skills
  • Talent for effectively interacting with customers
  • Must be proficient in Microsoft Office applications (i.e., Word, Excel, Outlook, PowerPoint)
  • 5+ years in customer service or supply chain environment
  • Proven ability to achieve goals
  • Self motivated to work independently
  • Ability to work within a fast-paced and constantly changing environment
  • Ability to maintain a positive attitude at all times
  • Proven ability to think independently and handle multiple projects through to completion
